On the denial letter, find the claims department address and the name of the claims handler who signed it. Address your request to that handler, not to the customer-service line.
Send the request twice, on the same day: an email to the claims contact and a USPS certified letter with return receipt requested to the address on the letter. In both, give the claim number, policy number, and loss date, then list each item you are owed on its own line:
- the denial letter and any enclosures;
- the adjuster's field notes and all photos taken at the property;
- the insurer's written damage estimate;
- the policy in force on the loss date, with the declarations page and endorsements;
- the claim payment and correspondence log.
Keep the certified-mail receipt and the sent email in the claim folder.
